Purpose of this policy
Photographs, video, audio and examples of children’s work can help educators document learning and help families understand campus life. They must always be handled with care, dignity and respect for every child.
This page explains our approach. It does not itself record consent. The school will obtain the parent or lawful guardian’s choice through the applicable admission or media-consent process.
Where media may be used
- Learning documentation: classroom displays, portfolios, observations and educator reflection.
- Family communication: approved school platforms, newsletters, event updates and direct communication with families.
- School community: internal presentations, exhibitions, yearbooks or campus displays.
- Public communication: the school website, official social media, brochures, advertisements, press or other promotional material—but only where the required parent or guardian consent has been obtained.
Consent is a genuine choice
Consent for optional public or promotional use is not a condition of admission and will not affect a child’s learning, care, participation or relationship with the school.
Where practical, the school may offer choices by purpose or channel. A parent or guardian should contact the campus if the available choice does not reflect the family’s needs.
How we protect children
- We aim to show children respectfully, positively and in age-appropriate contexts.
- We do not publish a child’s full name alongside their image unless separate, specific permission and a clear educational reason exist.
- We avoid publishing personal details that could unnecessarily identify a child’s routine, address, health information or other sensitive circumstances.
- Media should be captured and shared only through authorised school processes and accounts.
- We will not sell an individual child’s image or media.
- A child’s comfort matters. Educators should respect a child who does not wish to be photographed or recorded, even where consent exists.
Group photographs and events
School events may include group photographs or recordings. We will use reasonable arrangements to respect recorded consent choices; however, large public or family events may also involve photographs taken independently by visitors.
Families are requested not to post or distribute identifiable images of other children without permission from those children’s parents or guardians.
CCTV is separate
Security CCTV is used for campus safety and is not treated as promotional photography. Access, retention and disclosure are restricted to authorised purposes and may be governed by separate security procedures and applicable requirements.
Changing or withdrawing consent
A parent or lawful guardian may contact the school to change or withdraw optional consent for future use. We will record the updated choice and take reasonable steps to stop new publication.
Withdrawal may not fully remove material already printed, lawfully published, copied by others or included in completed records. Where reasonably possible and within our control, we will consider requests to remove an existing online post.
Questions, concerns or takedown requests
Please identify the photograph, video, platform or publication concerned and explain the request. We may verify parental or guardian authority before changing a child’s media record or removing content.
Urgent safeguarding concerns should be raised with the campus immediately by phone as well as email.
